By enrolling in our tutoring services, you agree to attend scheduled sessions, make timely payments, and communicate any changes or issues. Cancellations must follow the guidelines outlined in our Refund & Cancellation Policy. We reserve the right to modify services and policies with prior notice.

Service Agreement

Our tutoring services are provided on a term basis or weekly payment schedule. Students are expected to participate actively in sessions and complete assigned homework to maximize learning outcomes.

Modifications

We reserve the right to update these terms with reasonable notice. Continued use of our services after modifications indicates acceptance of the updated terms.

Information Collection

We collect personal information including student names, contact details, academic information, and progress records solely for the purpose of delivering effective tutoring services.

Data Usage

Your information is used to:

  • Provide personalized tutoring services
  • Track academic progress and development
  • Communicate session schedules and updates
  • Process payments and maintain records

Data Protection

We implement appropriate security measures to protect your personal information. We do not share your data with third parties without explicit consent, except where required by law.

Session Cancellations

Lessons cancelled with at least 24 hours' notice can be rescheduled or credited to your account. Cancellations with less than 24 hours' notice are non-refundable and will be deducted from your session allowance.

Tutor Cancellations

In the rare event that we need to cancel a session, we will provide as much notice as possible and offer a makeup session at no additional cost.

Term Fee Refunds

Term fees are generally non-refundable once the term begins. Refunds may be considered in exceptional circumstances such as serious illness, family emergencies, or permanent relocation.

Payment Terms

Payments are due at the beginning of each term unless alternative arrangements have been agreed upon in writing. Weekly payments may incur an additional $15 per hour fee to cover administrative costs.

Accepted Payment Methods

We accept payments via:

  • Bank transfer (online-classes only)
  • Cash payments (in-person sessions only)
  • Other methods by prior arrangement

Pricing for Unlisted Year Groups

The pricing displayed on our website applies to specifically listed year groups under our Subjects section. For any year groups or subjects not explicitly listed on our website, pricing is subject to change based on the complexity of the curriculum, specialized knowledge requirements, and tutor availability. Please note that the pricing quoted for unlisted year groups is for cash payments and is subject to increase if bank account transfer is preferred. Please contact us directly for accurate pricing information for these unlisted subjects or year groups.

Pricing Changes

All pricing is subject to change at any time without prior notice. While we strive to inform existing clients about price changes in advance, we reserve the right to adjust our rates based on market conditions, operational costs, and service enhancements. Current term enrollments will be honored at the agreed-upon rate, but renewal terms may be subject to updated pricing.

Late Payments

Late payments may result in suspended sessions until the balance is cleared. A grace period of 7 days is provided before suspension takes effect.

Student Expectations

All students are expected to:

  • Arrive on time and prepared for sessions
  • Treat tutors and fellow students with respect
  • Participate actively in learning activities
  • Complete assigned homework and practice tasks
  • Maintain appropriate behavior during sessions

Consequences

Persistent disruptive behavior, consistent tardiness, or lack of engagement may result in a review of the student's enrollment and potential termination of services.

Our tutors are committed to providing a supportive, encouraging, and professional learning environment. They will maintain appropriate boundaries and deliver high-quality educational support.

studyCave is committed to providing a safe and secure environment for all students. We have zero tolerance for any form of abuse, neglect, or inappropriate behavior.

Tutor Screening

All tutors undergo:

  • Working with Children Check verification
  • Reference checks and background screening
  • Training in child protection protocols
  • Regular professional development updates

Reporting Concerns

Any safety concerns should be reported immediately to management. All reports will be treated seriously, investigated promptly, and handled with appropriate confidentiality and sensitivity.

Safe Environment

We maintain appropriate supervision, clear behavioral expectations, and safe physical environments for all tutoring sessions, whether conducted in-person or online.

Use of Student Feedback

With your consent, we may use student feedback, testimonials, and success stories for marketing and promotional purposes. This may include website content, social media posts, brochures, and other marketing materials.

Obtaining Consent

We will always seek explicit written consent before using any identifiable student information or testimonials. For students under 18 years of age, parental or guardian consent is required.

Content Usage Rights

By providing consent, you grant studyCave the right to use, reproduce, publish, and display the provided testimonial, feedback, or success story, along with the student's first name and year level (unless otherwise specified).

Privacy Considerations

We respect your privacy and will never share full names, contact information, or sensitive personal details in any marketing materials without explicit consent. You may request the removal of your testimonial from our marketing materials at any time.

Marketing Communications

When you provide your contact information to studyCave, you may receive periodic communications about our services, special offers, and educational resources. You can opt out of these communications at any time by contacting us directly or using the unsubscribe option in our emails.

Withdrawal of Consent

You have the right to withdraw your testimonial or marketing consent at any time by contacting us. Upon withdrawal, we will remove your testimonial from active marketing materials as soon as reasonably practicable, though it may persist in previously distributed physical materials.
